Terms & Conditions of Hire
These Terms & Conditions form a contract of hire for Kinlochard Village Hall. The contract takes effect from receipt of your reservation. Scottish Law governs the contract in all respects
We reserve the right to withhold part or all of the deposit to cover damage, excessive use of electricity, unsocial noise, or additional cleaning which we deem to be necessary
Reservations
Reservations can be made by contacting the Secretary.
Payments should be made as shown on receipt of invoice. The Hall is available to let between the hours of 9.00am and 12 midnight. Any other times are by negotiation. The finishing time of each let must be agreed in advance and adhered to.
Qualifying Hirers
Reservations by persons aged less than 18 years old cannot be accepted
Payments
Payments should be made by Bank Transfer as per your invoice.
Your invoice includes usage of a reasonable amount of electricity.
Should the hirer use unusual amounts of any utilities, for whatever reason, an appropriate extra charge will be payable on leaving
Booking
Where applicable, your security deposit must be paid to confirm your booking
The booking charge (depending on advance date on the invoice) must be lodged in good time
The Hirer must be at the Hall personally throughout the period of the let and is solely responsible for the whole party.
Under the terms of any hire, the hirer is also classed as the person responsible under the fire safety regulations and for reporting of any accidents and defects.
Booking Cancellation
If a reservation is cancelled, the hirer must notify the Secretary as soon as possible.
If cancelled within 30 days, hire charges will be returned less a 10% fee to cover costs incurred unless we can re-let
If cancelled less than 30 days from hire date full fee will be kept unless we can re-let
YOU ARE STRONGLY ADVISED TO TAKE OUT CANCELLATION INSURANCE FOR YOUR EVENT
Entry
Keys are available by arrangement with the Secretary who should be contacted In advance to make arrangements – Please note this is your responsibility
Licences
The hirer must obtain an alcoholic liquor licence if any money is to change hands and should check with the local authority if in doubt about an Entertainment License
Insurance and Responsibility
The Hall insurance does not cover the property of user organisations. Hirers will be responsible for the proper conduct of the let and shall be liable for the cost of any
damage caused to the premises, and/or fixtures, fittings, furniture, equipment etc, as well as any loss or damage to the property of any person or injury caused to any person arisin during the course of the let. You, the hirer is responsible for the Health & Safety of your guests
It is a condition of let that your organisation must have your own Protection of Vulnerable Groups or Safeguarding Policy If appropriate. Please ensure this is available for inspection
Noise
The hall may appear isolated but there are several houses within a few yards and residents have been disturbed in the past. Please note that our rural setting with field and wild animals means that discharge of fireworks is not allowed and discharge of Chinese lanterns is not allowed under Stirling Council Public Entertainment License. If you have music for dancing or listening, please consider the volume.
Reasonable volume as would be expected at a family dance or ceilidh is acceptable within the time limits below – noise above this level is NOT acceptable so please do not hire music that is liable to be above these limits as it will cause the venue to be closed
Smoking
Smoking is not permitted anywhere inside the hall . Please ensure any discarded cigarettes are cleared up from outside the hall – There are galvanised buckets available in the kitchen for use outside
Emergency Doors
The emergency doors must be kept clear at all times. The exits are clearly marked
and it is the hirer’s responsibility to make users of the hall aware of the location of all emergency exits.
Beer Kegs/barrels
Please note that great care must be taken if beer kegs or barrels are to be used
Decoration
Decorations or notices may only be attached to interior walls and doors of the hall if no damage is caused. Please use removable fixings eg Blutack etc.
ALL decoration brought must be taken away at the ned of your let
Rubbish
We have very little space for rubbish and other than a small amount of land fill that is less than the container in the kitchen, all waste and recycling should be taken away with you.
Cleaning
Users are required to sweep up and if necessary, mop up after each let.
The kitchen, toilet areas and car park should be left in a clean and tidy condition
and all tables, chairs and other equipment should be returned as found.
Replenishment of soap, toilet rolls and paper towels will be done by KVH
Although KVH undertakes regular cleaning, we cannot do so between each let.
You are thus expected to tidy up and put furniture back.
Use of cooker, fridges etc is on condition that they are given a basic clean by the hirer
ANY EXCEPTIONAL CLEANING WHICH KVH DEEM NECESSARY WILL BE CHARGED AT COST AND DEDUCTED FROM DEPOSIT
Departure
Please ensure all internal and external lights, water heaters and any appliances used are switched off.
In particular, please ensure all toilet lights and fans are switched off.
Please ensure you, or a nominated person, are available for the initial “Handover” check.
Please lock the door and return the key as requested.
The hall is run and maintained by volunteers for the benefit of the local community. It is a non profit making charity and all funds are re-invested into the hall for its upkeep and improvements. The Hirer must leave the property in the same condition as when he/she took it over.
